1168 – Passwords and Facetime and More: Tom talks Phone Tips

1. Generate strong passwords automatically
The iPhone’s Passwords app can create secure passwords for you.
Search for and open Passwords.

2. Handle a second FaceTime call
If another FaceTime call arrives while you're already on a call, you have several choices:

End & Accept to terminate the current call and answer the new one.
Choose Message to send the incoming caller a text response.
The useful trick is that the customized quick-response messages discussed in Episode 1167 can also be used with incoming FaceTime calls, not just conventional phone calls.
3. Sort your photo albums
This supplements Tom's photo-management episodes 1150, 1155 and 1160.
Go to:
Photos → Collections → Albums → •••
You can then sort albums in three ways:
Name — alphabetically.
Date Modified — recently used/changed albums appear near the top.
Custom Order — press and hold an album and drag it wherever you want.
Tom particularly likes this because once you have many albums, organizing them makes frequently needed photos much faster to locate.
4. Automatically answer calls on speakerphone
This was the tip Tom personally implemented immediately. Because he uses speakerphone almost all the time, he changed the iPhone so calls automatically route to the speaker.
Go to:
Settings → Accessibility → Touch → Call Audio Routing → Speaker
After that, accepted calls automatically use the speaker instead of requiring you to tap Speaker every time. You can still manually turn speakerphone off whenever privacy or circumstances require it.
One-Minute Takeaway
The most immediately useful tip for many people is probably Call Audio Routing: if you routinely use speakerphone, setting Accessibility → Touch → Call Audio Routing → Speaker eliminates an extra step on every call.
The photo-album sorting tip is especially valuable for anyone who has accumulated lots of albums: sorting by Date Modified keeps frequently used albums readily accessible, while Custom Order lets you prioritize the albums that matter most.
The other two tips extend existing iPhone capabilities: Apple's Passwords app can generate strong passwords, and FaceTime incoming calls can use your customized text-response presets from Episode 1167.
Bottom line: Episode 1168 is about eliminating small, repetitive phone tasks. None of the four changes is dramatic by itself, but repeated dozens or hundreds of times, they can save considerable time and frustration.

[00:01:32] All right, so I got one, two, three, four tips for you today. First one is going to be generating strong passwords. Now I happen to use Roboform both on all over the place Mac, PC, cell phone everywhere. So this doesn't apply to me. But if you are using stuff on your cell phone like Safari and so forth, this will work for you. Now on. And I always have to say Android users, you have the same kind of stuff on Android. I just don't know how to do it. So you just have to Google. You know, get the idea from me here and then go figure out how to do it on YouTube.
[00:02:10] But whatever you do, do this stuff because it makes you lightning fast and you're not searching for three hours to find one picture and you know, that kind of stuff. All right, so generating strong passwords, well, there's a passwords app and if you don't see it anywhere, just search for it. You do a search on your home screen and put in passwords. And then to get into it, you actually have to unlock that, just like you would unlock your phone or use face ID. And then at the bottom, you tap the plus button and then you tap password. And normally there's going to be a really strong password suggested there for you and you can accept it. And then you can use that one wherever you want, or you can create new ones all the time. So that's your password app. All right. The next one is FaceTime calls. You know, when you're on a FaceTime call and another one comes in. So you have some options that what you can do. So one is you can just decline it. In other words, don't accept it at all. Or you can end and accept. That's one of the choices. It ends the current call. Say, hey Sally, I got to go now. I got another thing coming in and hit that button and it accepts the other call and cancels the first call. Or if you listen to, I think it was the last episode, 1167, I talked about having automated text messages that tell people like, hey, I'm at work, I can't talk or, hey, I'll be back in five minutes or I'll call you back soon.
[00:03:50] You know, you can make your own messages. Well, those are usable in FaceTime too. So if you click message while you're on another call, you can use those text Presets that you've put in and send them to the person trying to FaceTime you. So it's more than just when you're on a regular call. All right, so that's FaceTime calls. Now this one is one that I wish I kind of forgot to put in on my series on photo management. And I'm telling you what, I have been saving enormous amounts of time implementing all these ideas. I did three episodes on it. 1150, 1155 and 1160. And I'll tell you what, if you did even a portion of what I talked about on those episodes, you'll find your photos instantly, everything you want. And then over time, you can go back to your older photos and caption them. And I teach you how to do all this stuff and use albums and collections. Wow. It really will save you a lot of time. I've told people on those episodes, people pay a lot of money to talk to me and then 20 minutes later, they can't find what they're looking for. All they want to show me something. All right. So anyway, in this, this particular one is, uh, sorting your photo albums. So albums are one of the only places where you can, you know, perfectly customize collections like grab stuff automatically, but albums, you customize it and put the stuff in the albums that you want.
[00:05:28] But sometimes you get so many albums, you got to keep track of them. So. So here's what you do. You go to your photos app and then you click on the collections tab as opposed to the library tab. The library's got everything. You got collections divvy it up for you, and then you click on albums. And once you're in the albums part of the collections, there's three little dots at the top. And when you click it, it says more and it gives you options. And one of the options is sort by name that alphabetizes all your albums. Okay, if you like that, perfect. Click that. Another one. It says sort by date modified. So this keeps the ones you're working with all the time near the top so you can find them faster. And then the last one is sort by custom order. And in this case, you can put your finger, hold your finger down on an album and slide it around and put it wherever you want. And sometimes even Apple agrees that sometimes, you know, you might have to do this a couple times because some menu will pop up rather than just you holding your finger and sliding the album and dropping it where you want it. So that again, makes you find stuff that you use all the time faster. All right. And the last one for today is this is one I changed the settings just today because I didn't know about this.
[00:07:02] Almost always. I mean, I'll bet you 99% of the time I use my speakerphone rather than hold the phone to my ear, which everybody says, that's bad for you anyway, but I have no reason. I'm usually by myself in the car or in the house, or there's nothing I got to hide from anybody. So I use the speakerphone, which means I have to tap the speaker as soon as I accept a call, and then tap the speaker so you can make it so the speaker comes on automatically. Now you can still turn it off right away if you don't want the speaker. And if it's something where you're in a crowded place and you don't want anybody to hear what's going on or you can't hear, so you pull it up to your head. So here's how you do it. And then it was, I don't know how you'd ever figure this out on your own, but I figured it out for you. So you go to settings and then you go to accessibility and then you go to touch settings, accessibility touch. And then the next thing is call audio routing. And in that case, then you tap speaker, you can tap headphones or you can just whatever, but you can tap speaker and then and then just, you know, log or go go about your business. You don't have to hit save or anything. And then the next time the phone rings, it's automatically going to go to speaker.
[00:08:30] And if you don't, if you see who it is, you know, immediately you can turn the speaker off. All right. If you don't want anybody to hear it, or if you're in a place where you don't need it. But like I said, at least 99 point something percent of the time for me, I just use the speaker. So it might as well, you know, come up with speaker right off the bat. So there's some more stuff. But I'll tell you what, if you go back to these back episodes, you're going to there's something for everybody. And I usually pick the ones that I know people struggle with finding photos that they know they have, but they don't can't find it. Right. So that whole photo management course. 1150 1155 and 1160.
