Episode 705 – Signature Files

[00:00:24] Hey, everybody, it's Tom here with episode 705 of Screw the Commute Podcast. Today, we're going to talk about signature files and canned responses. [00:02:04] All right let's get to the main event signature files and canned responses. Well, what are they? Well these are typically well, signature files anyway are typically a bunch of text and or graphics that gets included whenever you send a personal email or a business email. Now, it might have your tag line, a phone number, your email address, website or websites, logos, that kind of stuff. And yes, they do have these on broadcast emails too to comply with anti spam laws. But that's not what I'm talking about here. This is this is one off business and personal emails. What I'm really talking about here is the use your signature files to answer questions you get regularly so you don't have to type the answers. Good email programs have unlimited signature files, and most people don't realize that and they don't that you don't have to just include your promotional stuff. Like I just mentioned. They can include any just about any amount of text or any topic like Gmail.

[00:03:16] I think you have 10,000 characters. That's that's a lot of stuff. I don't think it's limited on Outlook Now, if you get the same kinds of questions all the time through email, this is a handy way to respond quickly by simply choosing which signature file to put in the email. And basically, like, you know, I've used them for years in outlook because go insert signature and then I pick and I had as many as 400 of them in there one time because I get so darn many questions. So I didn't have to type the answers. I just go insert signature, pick the answer to the question. I got BAM and inserted into the email. I hit send boom. I took care of that person really, really fast and you still can customize them. So if the answer is important, but I needed to say something else to the person, I can just type that in around the signature file. No big deal. Now, in Gmail, you have both signatures and another thing called canned responses. Canned responses are basically templates you've created with pre-written answers to questions or any type of info you have to convey regularly. Now, you can still customize the message if necessary, when you're ready to send it. Now, in the show notes, you're going to find an article or a couple of articles showing you exactly how to do this in Gmail and also an outlook.

[00:04:47] And I got to tell you, folks, this is a massive time saver. If you just take the time to to set these up. Now, I had to go to Gmail lately. I usually use Outlook because of the ransomware problem that hit the major email supplier, Rackspace. But I'm going to return to Outlook as soon as that gets resolved. But so I also include an article how to set up multiple signature files in Outlook. And I'm telling you now, if you've been listening for a while, you may have noticed I'm doing more short training episodes. Just because they're short doesn't mean they aren't massively powerful. Now, if you just took the time to learn this one concept in this one episode, it would save you hundreds of hours into the future. And it'll also impress the heck out of your prospects and customers of how fast you take care of them. And of course, that leads to more money in your pocket.
